How To Save Your Company Money With An Effective Telecommunications Audit

Businesses rely on their ability to communicate with customers, vendors and other branches; performing a regular telecommunications audit within their organization will ensure that they are utilizing the best equipment for their needs.

Communications in the business world is a key component to being successful. Obtaining and maintaining a customer base, inventory control, creditor and vendor associations and even communicating in house means having the most updated equipment. It also means investing in pieces of equipment that makes providing information in every aspect of business easy and fast. Some of the most common telecommunications equipment may include facsimile machines, telephone lines, radio lines, PBX and email.

A telecommunications audit is a service in which all such equipment within an organization are reviewed and evaluated for their efficiency, effectiveness, safety, security and compliance. It will also ensure that these communication devices are sufficient for meeting business objectives. In addition to the types of equipment utilized, the audit must consider the costs of operating the equipment and costs for purchase or lease of the equipment.

An important aspect to the audit is that of examining the security of the equipment. In a world of electronic dependence, more and more information is being placed on the internet and networked programs. These media make the information susceptible to hacking; illegal obtainment of the information by unauthorized people. In addition, compliance with legal mandates has to be assured, with policies for enforcement of the compliance firmly in place.

Just as important is the determination of the effectiveness of the equipment in meeting organizational goals. Telephones and voice mail systems must be accomplishing the levels of service demanded; if they do not, then replacement equipment that will do so must be evaluated. While equipment is assessed as to its efficiency, the effectiveness of those using the equipment is just as important. A telecommunications audit is able to unveil problems of inadequate communications that is not on the part of the equipment but rather on the part of those that use it.

A business has the choice as to whether they will handle their own audit in house, or if they will hire a specialty firm to conduct the audit. The benefits or drawbacks of the choice largely depends on the organization itself; however, in house audits are typically performed by those who are most familiar with the organizational communication goals and what type of equipment is needed to achieve it.

The world is based on communication, and businesses that are successful recognize the need for conducting a telecommunications audit to ensure that their equipment is effective for keeping them in touch with the world.
